Privacy policy
What we collect, why we use it, who receives it and the choices you have over your information.
1. About this policy
Adviser Edge Limited trading as AdviserPro (“AdviserPro”, “we”, “us” or “our”) provides software for New Zealand mortgage advisers and the people they assist. This policy explains our handling of personal information across our website, applications, connected services and evaluation versions.
It applies to advisers, applicants, authorised workspace users and people who contact us. The information involved depends on the features you use and what you or your adviser provide. This notice explains our practices; it is not blanket consent to every possible use of your information.
For privacy questions, contact support@adviserpro.co.nz.
2. Our role and your adviser’s role
An adviser business usually decides why client information is collected and how it is used for its advice services. We hold and process those records on the business’s behalf to provide AdviserPro. The business controls its authorised users and is responsible for explaining its own advice and record-keeping practices.
We also handle information for our own service responsibilities, including account administration, support, security and managing our business relationship. We remain responsible for the privacy obligations that apply to us. An adviser’s use of AdviserPro does not transfer their professional responsibilities to us.
If your request concerns records managed by your adviser, we may need to work with that business to respond. You can still contact us directly.
3. Information we collect and its sources
- Account and contact information: names, email addresses, contact details and the business or workspace you are authorised to use.
- Applicant and application information: household details, financial circumstances, fact-find responses, supporting documents, correspondence, notes and adviser review decisions that you or your adviser provide.
- Assistant information: requests, relevant records used to answer them, generated results, proposed actions and feedback.
- Calendar information: connected account details, permissions, availability and meeting information, as described below.
- Address suggestions: address text you type may be sent to Google Maps Platform to return address suggestions, with New Zealand results prioritised. Financial application details are not included in the lookup request.
- Service and support information: activity records, browser/device and usage information, diagnostic information and correspondence with us.
We receive information directly from you, from an adviser or authorised colleague, from another applicant acting with appropriate authority, and from services you choose to connect. Some information is generated as you use the service.
Provide only information that is relevant and that you are authorised to share. Where required information is not provided, we or your adviser may be unable to provide the relevant feature or progress the application. Optional calendar access can be declined or withdrawn.
Where information is collected through another person, the responsible business must provide any required notice and have a proper basis for sharing it. Where notification duties apply to us, we will take the required steps, including working with the adviser to bring the relevant notice to your attention.
4. How we use information
We use information to provide and support the features requested: account access, intake, fact-find, document collection and review, workflow assistance, communications and scheduling. We also use relevant information to investigate problems, protect the service, maintain accountability for actions and meet legal obligations.
Service usage and feedback help us assess reliability and improve the features we provide. Use of connected Google information is further limited by the commitments in section 6. We do not sell personal information or use connected calendar information for advertising.
We do not treat access to your information as permission for an unrelated purpose. If a new use requires further notice or permission, we will address that before making the new use.
5. AI-assisted features
When an AI-assisted feature is used, relevant requests, document or application content, and workflow context may be sent to an AI service provider to generate summaries, checks or proposed actions. Relevant scheduling information may also be processed when you ask for calendar assistance.
We retain relevant interactions, outputs and feedback to support the workflow, investigate errors and evaluate the assistance provided. This is different from training a general-purpose AI model. Connected Google information is not used for that training, as set out below.
AI results may be inaccurate or incomplete. The adviser reviews the evidence and remains responsible for advice and consequential decisions. AdviserPro’s calendar integration is for scheduling, not determining creditworthiness or making lending decisions.
6. Connected calendars and Google Limited Use
You choose whether to connect Google Calendar, Microsoft Outlook or another supported provider. The permission screen explains the access requested. We receive the account identity, email address, calendar details and authorisation credentials needed to maintain the connection and provide the features you approve.
We use availability information to identify suitable meeting times. Google availability checks use free/busy information; Microsoft availability checks use event timing and availability status rather than event descriptions. We retain connection details and information linking AdviserPro meetings to your calendar.
When you approve a booking, change or cancellation, the necessary meeting details are sent to the provider. These can include a title, time, location and description. If you choose to send invitations, attendee details and meeting information are also shared with the provider and recipients. The assistant asks for confirmation before changing your diary.
We follow the Google API Services User Data Policy, including its Limited Use requirements, when using or transferring Google account information. That information is used for the scheduling features you request. It is not sold, used for advertising, creditworthiness or lending decisions, or used to train general-purpose AI models. Human access is limited to permitted purposes such as assistance with your consent, security investigations and legal obligations.
You can disconnect in Settings → Calendar. This removes the connected account, its credentials and current sync mappings from AdviserPro; it does not erase lead audit events, remove existing external events or revoke the provider’s permission grant. AdviserPro cannot update or cancel those earlier external events after the connection is removed. You can also revoke that grant in your provider account. See calendar help and retention and deletion.
8. Processing outside New Zealand
Our service providers may store or process information outside New Zealand, including in Australia and the United States. We do not promise that every part of the service operates in one country.
Where New Zealand law requires safeguards for an overseas disclosure, those requirements continue to apply. Depending on the arrangement, protections may include applicable privacy law, contractual safeguards or another permitted basis for disclosure. Processing by a provider on our behalf does not remove our own responsibilities.
If your business needs a particular data-location arrangement, discuss it with us before providing the information. We will confirm whether the service can meet that requirement.
9. Retention, disconnection and deletion
We aim to retain personal information only while it is needed to provide the service or for another lawful purpose. The relevant period depends on the record, the adviser’s authorised instructions, legal obligations and any genuine need to resolve a dispute or investigate misuse.
You can request closure of your account and deletion of the information related to you by contacting support. We verify the request, identify the information involved and explain the proposed removal, timing and any exceptions. An account closure request does not by itself confirm that every copy has already been deleted.
Some records may also belong to an adviser business or concern other applicants. We assess those records with the responsible business and explain any lawful reason for retaining them. Backup copies and records held for a valid legal or security purpose may not be removed immediately; we will explain relevant limitations rather than promise instant deletion.
Removing access to a calendar is a separate action from deleting your AdviserPro information. Events and invitations already delivered to a calendar provider or recipient may remain there. We cannot directly erase independent copies retained by an adviser, recipient or provider under their own responsibilities.
See how to make a data request for the current request process.
10. Your rights and choices
You can request access to personal information we hold about you and ask for inaccurate information to be corrected. You can also request deletion, ask about a copy or export of your information, or raise a concern about its use. If we do not make a requested correction, you can ask for a statement of the correction sought to be attached as provided by applicable law.
We may need to verify your identity and authority, protect another person’s information, or work with the adviser business responsible for a record. We will respond within applicable legal timeframes and explain any lawful refusal or extension. Not every request for deletion or export creates an unrestricted right to immediate removal or a particular file format.
Where processing depends on your permission, you can withdraw it for future use. This may prevent the related feature from working and does not undo processing already lawfully carried out.
Email support@adviserpro.co.nz. You can also raise a privacy complaint with the New Zealand Office of the Privacy Commissioner. Contacting us first can help resolve a concern, but does not remove your right to complain.
12. Protecting information
We use safeguards designed to protect information against unauthorised access, loss or misuse, including access restrictions and protection of connection credentials.
No online service can guarantee absolute security. Keep access to your account secure and report suspected misuse to support. We will assess suspected privacy breaches and notify affected people and regulators where the law requires it.
13. Information about children
AdviserPro is intended for adviser businesses and authorised adult participants. A household application may nevertheless contain information about dependants. Only provide that information where it is relevant and you have the necessary authority. Contact us if you believe a child has submitted information or is using an account without appropriate authority.
14. Changes and contact
We update this policy when our practices or obligations change. We will draw material changes to affected users’ attention through a suitable channel and obtain any further permission required by law. A policy update does not retrospectively authorise an unrelated use of information.
